How to add, edit, and remove users in the Pearl Platform as well as handle PIN permissions and password resets

Step 1: While setting up new users, primary administrators can generate this PIN by logging into the Pearl platform app.pearlhealth.com, navigating to the “Administration” space on the upper right hand corner of the home screen, and selecting to the “User Management” tab.

Step 2: Upon arrival to the “User Management” tab, simply select “+ Add User” and you can add the new user after filling out the required fields as shown.

Step 3: After filling in the new user details and clicking “Next,” the PIN is automatically generated as displayed below. This PIN needs to be communicated to the new user so that they can create their password for the Pearl platform.

Note: this PIN is valid only for 24 hours. If that period lapses, a new PIN must be regenerated through: Administration >> User Management >> Click “View Details” on the User >> Generate Password Reset PIN. The invite link will also expire in 5 days and you can resend it by going to Administration >> User Management >> Click “View Details” on the User >> Resend Email.

Deleting or Editing Users

We're building out the capability to self-serve to delete or edit any existing user. In the meantime, if you need to delete or edit a user, please message us the name and email of the user or email us at help@pearlhealth.com. We can manually edit or deactivate them from the platform.

Troubleshooting Adding New Users

Here's a quick list of things that you should check if you're having trouble inviting a new user to join the Pearl Health application.

  1. Ensure that the email is correct for any login or invitation issues.

  2. Check spam if a user is not receiving the email or reset password link.

  3. If an existing user can't login, try resetting the password. You can do this for them by initiating a password reset to their email via the login screen.

  4. “Sorry, there’s been an issue setting up your account” error: the user already exists or the invitation has expired. Try password reset.

PIN Authentication

As an effort to strengthen user account security measures, the Pearl Health platform will require a 6-digit PIN to add new users or reset passwords after PHI is available in the platform. The pin authentication for new account creation and password reset helps Pearl Health help the providers to tighten their security with an easy extra step. The PIN is valid only for 24 hours. After 24 hours, the PIN needs to be generated again.

The six-digit PIN is generated and communicated to a user only in case of two events:

  1. New account creation: After a new user is added to the Pearl app through Administration → User Management → Add user, a pop-up appears containing the six-digit PIN. The primary admin communicates this pin to the new user to set their new password. Please relay this pin to the user over the phone, verbally, or by other secure means, etc. Please DO NOT email the pin to the user.

  2. Forgot password: When users forget their password, they click on the forget password link on the homepage. When they access the password reset link sent via email, they will be asked for the six-digit pin to reset their password and contact their primary admin. When the user gets in touch with the primary admin to get the PIN, the primary admin will go to Administration >> User Management >> Click “View Details” on the User >> Generate Password Reset PIN and generate the PIN. The primary admin communicates this pin to the user to reset their new password. Please relay this pin to the user over the phone, verbally, or by other secure means. Please DO NOT email the pin to the user.

Forgot My Password

Please go to app.pearlhealth.com and click Forgot my password to receive a link to reset your password. Note that if PHI is in the platform, you will also be prompted to enter a 6-digit PIN. Please ask a contact in your organization who has primary admin privileges to generate this PIN by. going to Administration >> User Management >> Click “View Details” on the User >> Generate Password Reset PIN. If you are the only with primary admin privileges in your organization, please contact us at help@pearlhealth.com and we will help you reset your password.
